What a personal CRM is
What is a personal CRM, and do I need one?
A CRM stands for customer relationship management. It started as sales software, where a company keeps notes on each customer. keeps track of people. A personal CRM does it for the people in your own life and work, so you remember how you met, what you said and what you promised.
What goes in it
What do I keep for each person?
- Your calendar adds the people in your meetings
- Notes and follow-ups stay with each person
- It files everything in folders, so it stays organised
Contacts: Sam Khan, added from your calendar.
My Notes: a note about the Tidewell call, linked to Sam and private to you.
My Tasks: send Sam the pricing, due Friday.
My timeline filtered to Sam Khan: every meeting with them.
Say it once, after the meeting
What do I do when a meeting ends?
- Talk or type to your AI app
- It saves a note and your follow-ups, linked to the person
- It puts them in the right folder, so nothing gets lost
Claude: you say what you learned and promised after the meeting, and it saves a note and two follow-ups linked to Sam.
My Tasks: the follow-ups are in Humble, linked to Sam.
ChatGPT: before the next meeting you ask what you still owe Sam.
How to set up a personal CRM in 10 minutes
Connect your calendar, save one person, then let your AI app do the typing.
Good to know
- Your notes and links are private. Linking a person to a note or task shares nothing with them.
- What your AI app can do. Find, read, add and change your notes, tasks and contacts. Put them in folders and link them to each other. It cannot delete anything yet. Connecting it is part of every plan. Connect your AI app.
- You do not need your AI app for the first two steps. The calendar and LinkedIn parts work without it.

Keep it up without a chore
How do I keep it up without it becoming a chore?
A personal CRM only helps if you use it. Keep each habit very small.
- Right after a meeting. One minute is enough. Say or type what happened to your AI app. Humble works on your phone too, so you can do it on the way out.
- Before a meeting. Open the person in Humble. Or ask your AI app: What do I know about Sam?
- Once a week. Ask your AI app: What do I still owe people? Send what is due. Move what is not.
If you have attention deficit hyperactivity disorder (ADHD), the first habit matters most. Notes written later are often never written. How to remember what people tell you, with ADHD explains why.
